Manage Users and Devices

Use this page to add, edit, or delete user accounts for ContentsTrack online and mobile. You can view, edit, or unregister devices connected with your instance of ContentsTrack. Devices are registered by the mobile user the first time they log in after a new installation.

  • Access the Users/Devices page in the Tools menu.

Manage user accounts

Add a user account

  1. In the Users table, click Add User. A dialog box appears.
  2. Enter the user's Xactware ID. If the person does not have an Xactware ID, enter their email address. They will receive an email with instructions for setting up an Xactware ID.
  3. Select the permissions for the user.
  4. Click Save.
  5. The user needs to log in to finish setting up the account. Mobile users need to register their device the first time they log in.

Edit a user account

Adminsitrators may need to edit user rights or reset the mobile PIN for a user who has forgotten their PIN.

  1. In the Users table, click the Xactware ID link of the user you want to edit.
  2. In the dialog box, you may not edit the Xactware ID. All other options may be edited.
  3. Click Save.

Note: Clicking Reset PIN sends the user an email with a link to reset their PIN.

Delete a user account

  1. In the Users table, select the check box for a user.

  2. Click Delete Selected.

Manage devices

In ContentsTrack online, you may only edit device names, or unregister a device. Mobile users register devices after a ContentsTrack user account has been created for them and they log in for the first time with their device. Mobile users will need their Xactware ID and the XactNet Address for the instance to register their device.

Register mobile devices

Registration for mobile devices is completed by the mobile user. The user will need the XactNet address for your instance as well as their Xactware ID information. You can find the XactNet address of the online instance by logging in to ContentsTrack online and clicking your name in the top right corner of the home page.

Mobile registration instructions

  1. Open the app in your mobile device and enter the required information:
    • Xactware ID
    • Password
    • XactNet Address of online instance
    • Device Name
  1. Click Register. The device will sync.
  2. Enter your 4-digit PIN. You will use this PIN every time you log in. If you forget your PIN, your administrator can reset it in ContentsTrack online.

The device will show up in the Users/Devices page in ContentsTrack online. Your device is ready.

When a mobile user logs in, they will need to tap to select their email address (Xactware ID) from the list and then enter their PIN.

Edit a device name

Editing the device name only affects its identification within ContentsTrack. This does not change the actual name of the device.

  1. In the Registered Devices table, select a Device Name hyperlink.
  2. Edit the name.
  3. Click Save.

Unregister a device

Administrators can unregister devices that are no longer used for ContentsTrack jobs.

  1. In the Registered Devices table, select the check box for the device.
  2. Click Unregister.

Note: Mobile users can also unregister their device in ContentsTrack Settings.
